Preparing for Your Appointment

Planning ahead can help you get the most out of your visit. Whether you’re coming for a routine check-up or a specific concern, a few simple steps can make your appointment more efficient and effective.

What to Bring

Please bring the following to your appointment:

  • Your valid provincial health card
  • A current list of all medications (including prescriptions, over-the-counter drugs, and supplements)
  • A list of any questions or concerns you’d like to discuss

Note: If your provincial health card has expired, please renew it before your appointment by visiting a ServiceOntario office or ServiceOntario.ca. Once you have your new provincial health card, contact our registration team so we can update your records.

Appointment Etiquette

We’re committed to delivering respectful, timely care for all patients. Please keep the following guidelines in mind:

  • Arrival time: Arrive 10 minutes early to allow time for check-in and any last-minute updates to your information.
  • Paperwork: If you’ve been asked to complete forms, please bring them with you and inform registration staff when booking. Some forms may involve a fee; our team can provide details in advance.
  • Cancellations: If you can’t make your appointment, please provide at least 24 hours’ notice so we can offer the spot to someone else.
  • Respectful environment: We are committed to providing a safe and inclusive space. Aggressive or inappropriate behaviour will not be tolerated.
  • Scent-free policy: To help maintain a comfortable and safe environment for all patients, staff, and visitors — especially those with scent sensitivities or allergies — we kindly ask that you avoid wearing perfume, cologne, or other scented products to your appointment.

Virtual Appointments

Some appointments may be scheduled by phone or video call, when appropriate. Here’s how to prepare:

  • Phone appointments: Make sure your phone is charged and nearby at the time of your appointment. Your provider will call you as close to the scheduled time as possible. Note that the call may appear as “Unknown Caller” or “No Caller ID”.
  • Video appointments: If your appointment is by video, you’ll be sent a secure link in advance. Please ensure you have a reliable internet connection and a quiet, private space.

If you miss your virtual appointment, you will need to call the office to rebook.

Fees & Coverage

Some services, such as completing forms, sick notes, or injections for travel, are not covered by OHIP. You will be notified at the time of booking if your visit may involve additional charges.

Special Considerations

We strive to make your visit comfortable and accessible. Please let us know ahead of time if you:

  • Require mobility support (e.g., wheelchair access)
  • Require interpretation support (e.g., language or ASL services)
  • Have any sensory sensitivities or other needs that we can accommodate
